Overview

BWG Group is a leading retail and wholesale distribution company originally formed in the 1970’s by the coming together of 4 independent companies. During this time the Company has built up a portfolio of leading retail and wholesale brands such as; SPAR, EUROSPAR, Mace, Londis, Xpress Stop, XL and more. The BWG Group are comprised of a Head Office in Dublin with over 200 employees, 21 Value Centres across the country and a National (Centralised) Distribution Centre which services 1,300 retail outlets.

The problem

The challenge

The BWG Group had an ageing printer and multifunction device fleet comprised of many different brands. Many staff in the Head Office worked off a personal desktop printer. As a result they had a complicated procurement process for ordering consumables and were maintaining their own stocks for the varied models. Print volumes, mono and colour, were too high for the ageing devices resulting in poor performance, downtime and high service costs. There was no remote monitoring of machine performance or consumable levels.

Given the complexity of the business, BWG required a partner that could fulfil the following criteria;

  • Efficiently manage a nationwide printer fleet
  • Handle printer issues thus freeing up BWG IT Helpdesk
  • Reduce costs
  • Provide a printer fleet that would last at least 5 years
  • Ability to run monthly usage reports by location/department for billing
  • Provide additional security

The Bryan S Ryan solution

After considering many vendors, the contract was awarded to Bryan S Ryan. As an independent Managed Print Service provider, Bryan S Ryan were able to look at BWG’s specific requirements and implement a tailored solution to fit.

A complete technology refresh in Head Office, theNational Distribution Centre and the various ValueCentres nationwide was implemented. The mixed brand device fleet was replaced with a streamlined model range from Kyocera to decrease output costs. Two models were chosen for Head Office, MFD’s replaced personal desktop printers allowing BWG to easily manage toner levels. Kyofleet Manager was employed allowing Bryan S Ryan vice staff and the Toner Delivery Team to monitor the fleet. BWG now receive automatic toner replenishments and have cut out the previous procurement process. BWG have benefited from a dramatic reduction in service spend due to the new equipment having a much lower running cost.

In addition to the above, Bryan S Ryan introduced Papercut software. This software offers secure release of all print jobs on the Kyocera devices, adding an extra layer of security and accountability for users. BWG have seen a 20% reduction in wastage since implementing Papercut. Print jobs are now deleted from the queue if they are not collected in a timely manner.

A combination of the new devices, reporting, added security, streamlined ordering process has meant BWG were annually saving up to 35%.

Extra benefits

We are now 4 years into our contract with Bryan S Ryan and we have halved our annual bills. The Managed Print Solution provided by BSR means they know toner levels and service requirements before we do. Downtime of machines is a thing of the past! Our IT Helpdesk receives no more calls regarding printer problems, freeing up their time to deal with important issues. I have nothing but positive things to say about Bryan S Ryan, they have delivered on all aspects of the agreement and have taken ownership of everything.
